How to submit your annual odometer declaration

In accordance with IRS guidelines, you are required to complete an annual odometer declaration by January 30th to avoid the risk of being taxed on your reimbursements.


We’ve made some updates, and you can now conveniently submit your annual odometer reading directly through the app. Please note, this new feature will only be available on app version 4.4.2876 or newer.


Follow the below steps to update your annual odometer declaration either through the Cardata app or Cloud:


Update through the Cardata App

  1. Login to the Cardata app on your mobile device
  2. Tap on the hamburger menu on the top left of the screen
  3. Tap on My Profile
  4. Tap on Annual Declaration at the bottom of the page

If the annual odometer entry period is open, you will see the screen below with the option to update your odometer reading.

  1. Tap on Update

  1. Enter your current odometer reading and tap Update. The option to Update will be removed once the declaration is complete.  If you have made a mistake in declaring your odometer reading, you will need to contact our support team to make any changes.

  1. If the update is successful, you will be redirected to the annual declaration page, where you’ll see the message "Your odometer has been declared!" at the top of the screen.


  1. If there are any issues with the declaration, you will be notified on the entry page with the error message “Odometer declaration failed to save; please try again”.  If you continue to have issues contact our support team for assistance.



Update through Cardata Cloud


  1. Log in to Cardata Cloud. 

  2. After logging in, you’ll see a red No Annual Declaration bar next to your traffic light status. In that bar, click the annual declaration link to open the Odometer Declaration page. 

  3. In the text box next to 'Current Odometer,' enter your current odometer reading and click Update. 

  4. Check off the box next to "I declare the above information to be true." 

  5. Click the Submit Compliance Declaration button to complete your odometer declaration. 

Congrats, your annual odometer declaration should now be complete!
