How is Cardata Intelligence different from Cardata’s legacy reporting?

What data was available in the legacy cloud reporting model, and how does it compare to what’s available in Cardata Intelligence?
The legacy reporting model provided access to a static set of standard fields such as driver and admin counts, trip details, mileage trends, and user profile information. While it served basic operational needs, it lacked customizability, dynamic filtering, and advanced visualization.
Cardata Intelligence offers all that and more, with a user-defined dashboard, real-time filtering, role-based access, and deeper integration with your program goals. It transforms how organizations access, interpret, and act on data.

What’s included in the base version vs. the premium version of Cardata Intelligence?
The base version of Cardata Intelligence replaces legacy reporting with real-time dashboards and default reports, while the premium version adds scheduled reporting, AI-assisted insights, custom report building, alerts, and role-based access controls.
Why is some data missing or not up to date in Cardata Intelligence?
Cardata Intelligence currently refreshes data on a 24-hour cycle. This means that some reports or dashboards may temporarily appear out of date or missing newly submitted information.
We understand the importance of timely insights and are actively working on shortening the refresh window to support near real-time data availability. Until then, if you don’t see the latest data, please check back after a few hours or the next day.
Why is a driver missing from the “Top Drivers by Mileage” tile?
If a driver isn’t showing up in the “Top Drivers by Mileage” tile, it may be due to a temporary sync or visibility issue.
Steps to resolve:
- First, try refreshing your dashboard view.
- If the issue persists, take a screenshot and share it with your CSM or support contact.
How frequently is Cardata Intelligence updated?
Cardata Intelligence refreshes automatically every few hours throughout the day.
Who should use Cardata Intelligence at my company?
Cardata Intelligence should be used by program admins and stakeholders in finance, HR, and operations who need real-time visibility into program performance, automated reporting, and actionable insights to manage vehicle reimbursement more effectively.
What’s the difference between Logged Trips and Reimbursed Mileage At Cardata?
Understanding the distinction between logged trips/mileage and reimbursed mileage is important when working with your Cardata data.
Logged Trips: For our tracking customers, i.e customers that are eligible for using the Cardata App, Logged trips provide detailed trip-level data. This includes things like the trip origin and destination information, trip type (e.g., personal or business), timestamps, and mileage(original and any adjustments) for each individual trip. This data is especially useful for those who need granular visibility into every trip.
Reimbursed Mileage: Often referred to as business mileage, on the other hand, refers to the total business mileage that has been aggregated for a specific reimbursement period. When the reimbursement period ends (often referred to as the lock dates), Cardata takes a snapshot of all eligible business mileage logged during that period. This summary is then used for reimbursement and routed to managers and admins for approval.
Key differences to note:
- Reimbursed mileage is aggregated, so it does not retain individual trip details.
- You cannot filter or segment reimbursed mileage by Trip date—instead, use the Reimbursement date for your searches.
- You will not see the number of trips tied to a reimbursement, only the total reimbursed mileage.
- Logged mileage may differ from reimbursed mileage, as not all logged trips may qualify as reimbursable business mileage.
If you're analyzing data and need trip-level detail, use total mileage using the trip date filter . If you're reviewing reimbursement, focus on business mileage or reimbursed mileage using the reimbursement date filter.
